How a furniture buying agent works

A furniture buying agent in India represents the buyer through every stage of the sourcing programme — requirement briefing, supplier shortlisting, factory verification, sample development, cost negotiation, production monitoring, quality inspection, container loading and export documentation. The agent sits between the buyer and the factory as a neutral party, translating commercial intent into technical spec-sheets on one side and operational status back to the buyer on the other.

Because the agent is paid by the buyer, the incentives are aligned: the buyer wants the right factory at the right price with the right quality, and the agent's success on that engagement is what earns the next engagement. Factory sales agents, by contrast, are paid from factory margin — their incentives are to route buyers to the factory that pays the highest referral fee, not to the factory best-fit for the buyer's programme.

What our buying agent engagement covers

Requirement briefing — 60-90 minute call with the buyer's design or sourcing lead covering category scope, MOQ per SKU, target FOB, destination port, retail-tier positioning, timeline and compliance package. The output is a written RFQ document. Supplier identification — three-to-five factory shortlist per SKU-family drawn from our 23-year vetted cluster network across Jodhpur, Saharanpur, Jaipur and Delhi NCR. Factory verification — fresh BSCI or Sedex social-compliance audit plus programme-specific technical audit against the buyer's vendor spec.

Sample development — 15-30 day sample turnaround with in-person cluster review by our field team, one round of paid revisions before locking the production PO. Cost negotiation — FOB price locking at volume, sample-fee waivers, capacity commitment for the buyer's production window. Production monitoring — milestone-linked during-production inspection at 30-50% completion. Pre-shipment inspection — AQL 2.5 sampling with full defect breakdown and photographic evidence. Container loading — supervision at Mundra or Nhava Sheva, seal-number recording, freight-forwarder handoff and export-documentation package.

Buying agent commission model

Two commercial structures. Percentage commission — 4-8% of FOB, paid by the buyer, transparently invoiced. Suitable for buyers with recurring monthly or quarterly programmes above 40-ft container scale. Fixed retainer — a monthly retainer plus a small per-inspection fee, suitable for buyers with a large multi-category programme where a percentage would be disproportionate.

In either model our fee is invoiced by us to the buyer and disclosed in the buyer's landed-cost sheet — there is no shadow commission from the factory. Buyers frequently ask us to sign a formal buying-agent agreement covering non-disclosure of factory shortlists, no direct-to-factory contact during the engagement window, and audit rights over our own margin transparency. We welcome all three.
