Export documentation is the last 10 days of every shipment — and the stage where international buyers most often lose money. Asia Sourcing manages the full documentation stack from the factory gate to the buyer's freight forwarder, including container loading supervision, CoO issuance, FSC certification, test-report compilation and physical courier of originals.
Documents we prepare and verify
Commercial invoice (correct HS codes, correct Incoterms, CoO flag), packing list (SKU-wise, carton-wise, with cubic metres and gross/net weight), bill of lading draft review, certificate of origin (chamber-attested where required), Form A / GSP where applicable, FSC Chain-of-Custody certificate for wood items, phytosanitary certificate for solid wood, fumigation certificate (ISPM-15 compliant), test reports (BIS / LFGB / EN71-3 / Reach / CPSIA) attached to the shipment file, insurance certificate where buyer-side insurance is required, country-specific documents (ADC for electronics, BIS for electrical).
Container loading supervision
Our team is on-site at the factory or consolidation warehouse during FCL loading. Deliverables: pre-loading container photographs (empty-container, floor condition, roof and sidewall integrity), loading-plan verification against the packing list, SKU-wise loading photographs, seal number recording, post-loading photographs of the sealed container, and a signed loading-supervision report that forms part of the shipment file. For LCL shipments we photograph the goods at the CFS before stuffing.
Consolidation service
For buyers running multi-factory programmes, our Moradabad consolidation facility receives goods from each factory, inspects the inbound packaging, re-stacks for optimal container utilisation, photographs per SKU and loads a single FCL. This typically shifts the buyer from paying three LCL rates to paying one FCL rate — a 25–45% freight saving on multi-factory programmes.
Freight forwarder handover
The final step of every shipment is a complete handover to the buyer's chosen freight forwarder. We prepare a document pack (digital first, physical couriered second) covering every document the forwarder needs for port clearance and vessel loading. For buyers who do not already have a forwarder we can introduce three pre-vetted options.
